When is Copilot or Gemini the better choice?

  • You read most email on your phone or in the Outlook desktop app — Mail2Action is desktop Chrome only.
  • Your company already pays for Microsoft 365 Copilot or Gemini and has rolled it out.
  • You only need a short text summary, not action items or a picture of the discussion.
  • Your IT department does not allow browser extensions.

When is Mail2Action the better choice?

  • You work in both Gmail and Outlook and want one tool with the same results in both.
  • You inherit long threads and need to see who said what, who objected, and what was decided — see the email thread visualizer.
  • You want an action-item list with owners and deadlines you can copy or export.
  • You don't have a Copilot license, or want to choose your own AI model and provider.

Frequently asked questions

Short answers to common questions.

Is there an alternative to Copilot for summarizing Outlook email threads?

Yes. Mail2Action is a Chrome extension that summarizes Outlook on the web threads without a Copilot license. It also extracts action items with owners and due dates and draws timelines, reply trees, and flowcharts.

Can Copilot in Outlook summarize Gmail?

No. Microsoft's support page says Gmail, Yahoo, and iCloud accounts added to Outlook don't get Copilot features. Mail2Action works directly in Gmail and in Outlook on the web.

Should I use Mail2Action if I already have Copilot or Gemini?

Use the built-in assistant for quick summaries, especially on mobile. Add Mail2Action when you need visuals of a long thread, action-item lists you can export, the same tool across Gmail and Outlook, or your own AI model.

Does Mail2Action work in the Outlook desktop app?

No. Mail2Action runs in Chrome, so it supports Outlook on the web (outlook.office.com, outlook.office365.com, outlook.live.com), not the Windows or Mac desktop app or the mobile apps.
